Marketing agency cuts down on email

Stu Spalding, a project manager at Barefoot Proximity, was frustrated with manually updating spreadsheets and endless email exchange. He switched to Hive and saw his project move forward more efficiently with a lot less email.

We talked to him about his team’s story.

What does Barefoot Proximity do and what’s your team’s role?

Barefoot Proximity specializes in helping Consumer Package Goods and lifestyle brands build strong bonds with consumers. We offer tailored creative solutions and multi-platform expertise to drive brand vision.

Within Barefoot, we are a Channel Integration team of five, which specializes in analytics and data insights. We work to connect the right analytics resource with project teams and monitor the request’s progress from start to completion.

This involves creating actionable items out of each request, assigning them, tracking their progress, playing liaison between analytics and project team leads, and returning completed files and data to the correct owner. I work with the team daily to determine their capacity in a high-volume environment, and one of my top priorities is ensuring all items are tracking against a project plan.

How did you manage to work before you started using Hive?

We had been using online spreadsheets to track all of our items.

But this required weekly status meetings and running through dozens of items and updating them each manually.

This also required leaning heavily on email for record keeping and details, and didn’t provide high-level insight into what the team was working on, prioritization, and remaining capacity.
By the time we were able to answer these questions, the process felt reactionary.

What’s changed?

Using Hive, requests that come to me now get made into cards and instantly assigned to the proper resource with all the information and files attached.

I can now use the Hive status view as a dashboard into our total workflow and more easily assess the team’s capacity and which items have priority. We still have the status meeting, but now we reference Hive.

Using Hive has definitely streamlined our workflow process and reduced the number of steps needed to complete work.

Hive created a faster, and more flexible environment for my team to collaborate, execute and deliver work within.

It’s also reduced the amount of email exchange needed to kick off a request and approve work, which allows me to focus on other things.

What has surprised you about the transition to Hive?

I’ve definitely experienced decreased email.

If a typical project before took anywhere from 6 to 10 emails to complete the work, now I generally only need two, one to kick off the work and one to deliver.

What advice would you give to similar teams looking to make the transition from spreadsheets to a PM tool?

I would say that shifting from a traditional status model of tracking each item as a written list; to a more flexible, visual model has been a great benefit to my team and myself. I think it’s more efficient and collaborative.

Having my team in an environment with me where the information is easily digestible and responsive I think creates more accountability, and allows us to access priorities quickly.
