How To Plan Your Next Event Using Hive

Hive is such a versatile project management platform that you can use it to approach projects of any size, even when organizing large-scale events! With six different layout views and multiple ways to keep tabs on your actions, Hive has everything you need to manage those critical events. Here’s how to do it yourself.

Event planning can be challenging, right? Juggling different stakeholders, managing lots of actions, dealing with last minute pivots – it’s not an easy job. Who’s in charge of the banners?

Who’s creating the social media assets? Where did that email go with the correct room dimensions? In event planning, there are so many opportunities for tasks to fall through the cracks.

But don’t worry, because with Hive, you can enjoy complete visibility over each teammate’s activity throughout the entire planning process. And if you work with people who aren’t within your organization, you can even share your plans with external partners. This way everyone knows what they’re doing to ensure your event runs smoothly.

Typically, teams will use spreadsheets to plan their events. Spreadsheets are fine for bigger picture planning, but they don’t allow teams to collaborate and share details to the same extent as a tool like Hive. Some of Hive’s most useful features for event planning include:

  • Adding comments and updates to individual actions
  • Assigning action items and setting due dates
  • Tagging and categorizing tasks
  • Calendar and email Integrations

Best project layouts for planning events in Hive

One of Hive’s most unique functionalities is its flexible project views. With Hive, you and your team members can choose to view any project in six different layouts and toggle between them with just one click. This lets each person on your team choose to view the project in the way that works best for them.

Each layout is beneficial for different use cases, but when organizing a big event, we find that the best layouts in Hive are Table View, Calendar View, and Status View. Here’s how each of them can be used.

Table View

The Table View layout replicates the experience you have with a spreadsheet, but with extra options. You can customize actions and organize them into columns, highlighting the completed actions green when done. You can drag and sort the columns as you need and create custom fields.

Using filters, you can get further into the details of your team members’ actions. It’s really easy to change dates, assign actions and labels.

Table View is best suited for advanced Hive users, as it’s perfect for complex projects.

Calendar View

With Calendar View in Hive, you can check the status of actions against their deadline instantly. The view is set to the next six weeks by default, but you can customize the timeframe as you wish.

Use Calendar View in Hive to see how your even plans relate to each other across the project timeline. Calendar View helps you manage your team’s delivery timeframe.

Status View

With Table View and Calendar View, you immediately get the top line evolution of your event planning. If you want to deep-dive into more detail on a particular action, toggle over to the Status View. Here, you can see a workflow of actions at each stage of their development from ‘unstarted’ to ‘completed’.

You can also use the comment function within actions to add further information and context around the action. If you need to share the project plan with partners outside your team, you can do that too! Read our post on how to share Hive projects.
