How To Share Projects Outside Of Hive

Your team may be benefiting from using Hive, but you may work with other people outside your team or organization who don’t share the same productivity platform. Every so often, you may want to provide extra visibility to these external partners and share updates on the project status. Fortunately, Hive gives you that transparency without compromising the security of your project.

Here’s how to share project information with people outside your organization using Hive’s public link functionality. 

How to share projects with non-Hive users

If you are a project owner, you can create a shareable public link for any project formatted in a Gantt View layout. Those with the public link can only see a read-only version of your project in a browser tab. 

Hive’s shareable links allow partners, external stakeholders, or any other collaborators outside of your Hive team to enjoy an overview of the project – and the actions and timelines within it – without being able to edit it at all. In this view they will not see any specific action card details, and will not be able to see or add comments to the project. You remain in complete control.

Please note that only project owners can create a public link, so you will need to ask the project owner to create the link to share. 

How to create a public link in Hive

Step One: Make sure your project is formatted in Gantt View. If you’re not already set to that layout, you can switch in just a few clicks. Within the project you, select ‘Change layout’ and choose Gantt View.

Step Two: Within the project, Click ‘More’ and then scroll down and select ‘Share public link’.

Step Three: A pop-up will prompt you one last time, reminding you of the read-only access those with the link will get to your project. Here, toggle the grey tab until it turns blue. This will produce a shareable link, and the ‘Copy link to share’ button will activate and turn blue.

Step Four: Click on the ‘Copy link to share’ button, and you can share the link with anyone outside your team by pasting in an email or message.

When your project is shareable, a yellow band will appear at the top of your project reading ‘Public Sharing is enabled’.

To revoke public sharing to your project, follow the same steps to access ‘Share public link’ and toggle the button back from blue to grey. It’s that simple! If you need to share the project again, follow the same steps, and Hive will generate a new link to share.

Note: Is the option to ‘Share public link’ greyed out for you? 

Remember that only project owners can create a public link, so you might need to ask the project owner to create the link to share with the rest of the team and your external partners.
