The days of toggling back and forth between Hive, your calendar and inbox to schedule a task-related meeting or to check teammates’ availability are over. In our remote and hybrid work world, it can be challenging to find the best time for your team to coordinate quick syncs, meetings, or debriefs. Even more challenging? Ensuring that the team stays on task and covers all necessary items.
With our latest launch, Quick Schedule, we solve for all of that and more. At its most basic, this new feature lets users view teammates' calendars and quickly book a time slot directly from an Action card.
On any action card, you'll see "Schedule Time" under the assignee section.
When you click "Schedule time," you'll see a pop-out of your calendar. Add your teammates calendars by inputting their name into the the collaborator box. If these teammates have Hive Calendar synced, their full availability will populate in the calendar.
To schedule the best time, simply click on any open slot. The meeting title will be named after the action card, and will sync to the action card itself, making it easy to provide full context for the meeting's talking points and action items.
Why is this important? Visibility, for one. With all teammates calendar's synced in Hive, the perfect slot can be identified for the related meeting. When a meeting is scheduled, all participants added to the calendar will be added, and the action card will be linked in the meeting itself. Notes can also be attached to action cards to take next-steps and schedule additional action items in meetings. With Quick Schedule, other teammates and individuals across your company, who have access to your calendar, can better understand what you're working on, offer help, or volunteer to jump into the meeting. Without the in-office water cooler chatter or impromptu meetings, this is a great way to gauge team priorities and step in with any ideas. Managing a team and you need your teammates to focus on a task in a very specific timeframe? Quick Schedule lets you timebox a period in their calendars directly from an action. Any content or related items you want to flag to your teammates can be added in the action card, ensuring that all necessary context is available. Another perk of Quick Schedule is the ability to schedule heads-down time for yourself to tackle one specific item. It can be hard to fit time for a pressing task into busy schedules, especially when teammates or clients are regularly adding meetings to your calendar. If there's an action you need to address ASAP, use Quick Schedule to block off your calendar and ensure you have enough time to complete the action. Bonus: Quick Schedule will automatically adjust to the timezone you've set in your Google or Outlook calendar, making it easy to set meetings in your (and your teammates) correct timezones.
For this feature to be enabled across your organization, your teammates will need to have their Hive Calendar and Hive Mail synced, which can be done from Apps on your left-hand side bar. To turn on these features, toggle on each of the widgets and follow the prompted steps to connect your Google or Outlook calendars.
When viewing the scheduled meeting in your Google or Outlook calendar, you'll see a direct link from the meeting invitation to your action card and Hive workspace.
The meeting settings, such as reminders, preferred location, and more, will remain consistent with the settings you've set in your Google or Outlook mailboxes.
