Company Profile
Company Size: 1,000+ employees across multiple global offices
Stakeholder Reach: Supporting internal teams across functions while coordinating work with external partners and clients
The Challenge
Envision Pharma Group manages a high volume of complex deliverables across global teams — including scientific materials, digital assets, data visualization, and web experiences.
Before Hive, the team relied on tools like Trello and Ganttic, but these systems lacked the flexibility and visibility needed to support enterprise-level operations.
Key challenges included:
Managing multiple workflow types simultaneously — from fast-moving publication deliverables to highly structured, long-timeline creative and digital initiatives
Coordinating work across distributed internal teams and external collaborators, each with different levels of visibility and involvement
Providing leadership with clear oversight of milestones, timelines, and resourcing without overwhelming individual contributors with unnecessary detail
Operating across fragmented tools, creating inefficiencies in communication, reporting, and project tracking
After more than three years evaluating project management platforms, the team found that most tools were too rigid for their operational needs. At one point, they even explored building a custom solution internally
The Solution: Hive
In early 2022, Envision Pharma Group implemented Hive as its centralized platform for managing enterprise workflows, from intake and planning to execution and delivery.Hive replaced multiple disconnected systems with a single workspace where teams could coordinate work, track progress, and collaborate in real time.
Why Hive?
Hive provided the flexibility, visibility, and enterprise-grade capabilities required to support a variety of operational workflows while remaining intuitive for cross-functional teams.
The platform enabled the organization to unify workflow management, stakeholder collaboration, and approvals within one system.
How the Team Uses Hive
1. Structured Intake & Routing
Work begins with standardized requests submitted through Hive Forms, ensuring that each project includes the necessary context and requirements from the start.

2. Flexible Workflow Management
Fast-paced workflows: The publication planning team uses Hive’s Status View (Kanban) to move through high-volume deliverables like posters and brochures.
Longer-term workflows: The high-end deliverables team leverages Gantt charts and milestones to schedule and track projects like branding, animation, and data visualization.

This flexibility allows managers to balance resources — from designers working on eight projects in a day to developers focused on a four-week deliverable.
3. Collaboration & Record-Keeping
All task-specific notes, files, and updates are kept directly within Hive Action Cards, creating a single source of truth for each deliverable. This eliminates lengthy update meetings and provides an accessible history when new team members or external collaborators join a project.
“Having the history on the Action card is particularly useful when somebody new comes on to help out. Instead of a 40-minute meeting, we can say, ‘Have a read of the card first. If anything’s unclear, let’s chat. Otherwise, crack on.’”
— Simon Dempsey, Global Lead of Operations, Creative & Digital
