Summary view enables you to combine information from several of your Hive projects in one single view. It’s particularly useful for managers and teams who need to view the bigger picture in real-time. With Summary view, you can monitor work in progress, create content calendars, make meeting board updates and more. So let’s get into it — here’s how you can use Summary view in Hive.
Creating a Summary view
First, open Project Navigator and click Summary view to get started. Click on the ‘Create summary view’ button. A new window will open showing you options for the settings and information that you can include in your Summary view.
In the first window you see, you will have the option to name your Summary view and choose which Hive layout you’d like to view. You can choose from any of Hive’s 6 project layouts, including Status view, Team view, Label view, Calendar, Gantt view, and Table view. Each of these views offers different benefits. Choose the layout that best suits your current needs, but keep in mind that you can always switch to a different view in the future. We’ll cover editing and updating later in this post.
Finally, you can choose to share the Summary view with other team-members or keep it to yourself. Using the drop-down menu, select which users you want to share the Summary view with, but keep in mind that Summary views can only be shared with people who are already members of the projects you’ve selected.
On the next window, you can select specific projects and assignees to be included in the Summary view. These fields will help you customize the exact Actions you’d like to include within this specific Summary view. Even more, you can choose to include certain labels. Note that the default is to include all labels, so if you don’t want to include everything, be sure to edit the section in the drop-down menu.
Moving on to the sort type menu, you’ll be shown the options available for the template you’ve chosen. So, for example, if you have chosen Gantt view, your options will be specific to the Gantt view layout and if you’ve chosen Team view, your options will be specific to the Team view layout. Make your selections and then click on the blue ‘Create Summary view’ button to save your choices. And that’s it! Your new Summary view is ready. Other members of your team may be using a different view to see the project, and your choice will not impact the view they see.
Updating and editing Summary view is easy
If you want to update or edit your saved Summary view or change the template layout, navigate to the top bar and click on ‘Edit view’. A new window will open, taking you through all the setting choices as before, including template view options, sharing permissions and Assignees, label options and sort choice. As mentioned previously, the sorting options are dependent on your template choice, so if you change your template view, the sort options you are offered may also change. Click on ‘Update’ to save your new choices and you’re done!
Using Summary views during your working week
Let’s look at a few examples of how Summary views can provide value to managers and teams.
Using Summary view to create an overdue board
With Summary view you can view a range of different projects at the same time, which makes it perfect for keeping track of ‘overdue’ or ‘at risk’ actions across projects. Creating an overdue/at-risk summary view, enables managers to stay on top of all their projects and teams. With Summary view, you can send comments directly to assignees and chat about the work at hand, which is useful if you want to quickly check-in with how team members are progressing.
Using Summary view to create a content calendar
Summary view enables you to display all the content-related information from all your different projects, so it’s great for creating content calendars. Using the customization options, you can create a content calendar to share with content developers, so they can see the status of content deliverables across all the projects they are working on.
Using Summary view to create an update board for meetings
If your company holds regular meetings to share updates on work in progress, why not create a dedicated meeting board in Summary view? Pull in all the projects and information you need to run through regularly. And if you need to add or remove information, you can do it very quickly using the editing function in Summary view.
