How To Use Timesheets in Hive

Hive’s Timesheets app makes it so easy to keep track of your working hours and submit your timesheets for approval. Here’s how to use Timesheets and make the most of this feature in Hive.

To get started, go to the ‘Apps’ tab on your left-hand navigation bar. This will open a whole range of workspace apps. Scroll to ‘Timesheets’ and toggle the slider to activate. If you want, you can pin the Timesheet app to your navigation bar, so you can open it from there in the future. Please note that if you’re using the free version of Hive, you’ll need to upgrade to use the Timesheets app.

Once you’ve opened the Hive Timesheets app, the text ‘Add new’ will appear in the top left corner. Click on ‘Add new’ and you should see a list of the projects that you work on in Hive. Select the projects you want to add to your Timesheet. Once you’ve selected your projects, they will appear as rows on your Timesheet.

Your company has the option to add categories to each project. So, for example, a project titled ‘Winter Campaign’ might have categories such as admin, marketing, legal and client meeting. If the project you are working on has categories, you’ll see a plus sign under the project name. Click on the plus sign to view and add the relevant categories for your work.

If your company does not assign categories to projects, a row labeled ‘No category’ will appear on your Timesheet. To delete a ‘No category’ row, hover your cursor over the row that you want to delete. A trash can icon should appear on the right-hand side of the row. Click on the trash can icon to delete the entire row.

Inputting your hours in Hive Timesheets

Once you have set up your Timesheet, enter the number of hours you have worked on each project into the cells for the relevant days. When you are ready to submit your Hive Timesheet, click on the ‘Submit for approval’ button at the bottom right on the Timesheet.

How Timesheets are approved

Your company can set up Timesheets to be approved in three different ways:

  • Timesheets can be sent to individual project owners for approval
  • Timesheets can be sent to a manager for approval
  • Timesheets can be automatically approved without being seen by another contact

The first time you submit a Timesheet via Hive, you may be prompted to select a contact (or contacts) to send it to for approval. So, you will need to find out how Timesheet approvals are set up at your company and fill in the relevant details.

If your company has enabled Auto Approvals, note that you still need to click the ‘Submit for approval’ button when you’ve completed your Timesheet. If you do not click the ‘Submit for approval’ button your timesheet will not be entered into the Hive system, so don’t forget to click that button!

Fill in your Timesheets even faster

Once you’ve been using Timesheets in Hive for a week, Hive will allow you to copy the previous week’s projects over to your current week. Doing this could save you time if you have been working on the same projects as the previous week.

The ‘Copy over projects from last week’ button is at the bottom right of the Hive Timesheet, just click the button and the projects will be copied over. It’s that easy!

You can adjust the Timesheet you’ve copied by adding or removing projects. When you want to add a project, click on the ‘Add new’ text that appears in the left-hand corner and add projects from the list as before. And if you want to delete a project from your timesheet, hover your cursor over the row and click the trash can icon that appears on the right.

Once you have set up your new Timesheet, you can enter the number of hours you have worked on each project and submit your Timesheet for approval as before.

If your company has enabled the Pre-fill allocated hours’ function, a Pre-fill button will appear on the left underneath your projects. Click on the button to pre-fill the cells and then edit the numbers within the cells if you need to change them.

How to edit previously submitted timesheets

After you’ve submitted your Hive Timesheet, a manager or a project owner might ask you to adjust your hours on a specific project. Note that you’ll see a notification alert appear in Hive if you receive a message to adjust your hours.

To adjust your hours on a previously submitted Timesheet, locate the Timesheet you need to change. You do this by navigating to the date in the top right corner and then clicking on the arrow to scroll back through your previous Hive Timesheets.

Once you’ve found the relevant Timesheet, delete the project row you need to change, then re-add the project, so you can make the changes. Note that once a Timesheet has been submitted, you can’t change the hours in the cells, which is why you need to delete the project and re-add it before you can make any adjustments. Note that you only need to do this if you’re working with a previously submitted Timesheet. When you are working with a current (unsubmitted) Timesheet you can change hours directly in the cells.

Once you have made the necessary changes, click the ‘Submit for approval’ button to resubmit the Timesheet and you’re all done!
